Without a Process With a Process
The client repeats the same story 3 times because no one has a shared live record. Goal: Reframe their thinking. Make your perspective feel like the missing piece.
Documents float around. There’s no clear handover, just a slow fade into management. Onboarding has a defined end. Handovers are clean and confident.
The client calls you first. Always.  You’re already one step ahead. They feel guided, not forgotten.

The Process in Action

At our agency, we had multiple landlord onboarding happening at once, constantly. Without a process, once our business grew, it soon became clear that it would be impossible for one person to be responsible for everything. And the cracks started showing: things got missed, tasks undone, and no one had a clear view of progress.

Once we built our onboarding process inside a task manager + CRM combo, everything changed. We could instantly see where each onboarding sat. Everyone knew what was due next and who was responsible. If something got stuck, it was raised early and resolved fast.

The team ran it. The clients felt it. Our Principal only got involved when his input was necessary or tasks were at risk.

Great onboarding isn’t magic. It’s process. Here’s what sits behind that “smooth, confident” experience:

  • A rock-solid onboarding checklist (so nothing gets missed)
  • A tech stack that supports transparency (yes, even if you hate software)
  • Clear handoffs and assigned accountability (so the PM knows what they own from day one)
  • Templates and scripts for communication that sound human, not robotic
  • Time blocks. Onboarding can’t be squeezed into the gaps between maintenance calls and lease renewals

What Happens When the Process is Working

Great onboarding sets the tone for the whole relationship. When landlords feel confident from the start, they trust more, question less, and stick around longer.
And when your team isn’t scrambling to fix a messy onboarding after the fact, they’re more productive, more focused. You don’t need to over-engineer it. You just need a process that works and a team that actually follows it (Pro tip: this is the difficult part).

  • The Principal/Director no longer needs to step in. The team owns it.
  • Handover to PMs is seamless and confident.
  • New clients say things like “It feels like I’ve got a whole team behind me, not just one PM.”
  • Internal communication becomes effortless.
  • Clients never need to chase. Everything is proactive, clear, and scheduled.
